AI Assistant Automates Lead Qualification for Erus Consulting

Context

As the founder of a boutique cybersecurity and AI implementation consulting practice serving community banks, credit unions, and small private colleges, inbound phone calls represent both opportunity and overhead. Calls come from prospective clients, vendors, community partners, and individuals interested in our volunteer cyber safety seminars for seniors. Managing these manually during client meetings, travel, focused project work, or off-hours often led to missed or inconsistently qualified opportunities and administrative burden.

Approach

On July 9, 2026, we built and deployed Trixie (an homage to Speed's girlfriend), a custom Grok-powered Voice Agent using xAI’s Voice Agent Builder. The entire process—from initial configuration to testing and going live with a dedicated phone number—took approximately 45 minutes.

We created a clear playbook that positions Trixie as a professional assistant: greeting callers, verifying identity, qualifying needs, handling general inquiries, and booking discovery calls within defined availability windows (primarily Tuesdays, Wednesdays and Fridays). Strict guardrails were added to protect confidentiality, prohibit technical advice or custom pricing over the phone, limit call duration, and ensure professional conduct. Specialized instructions were included for community senior training inquiries and vendor calls. Knowledge documents and availability rules allow Trixie to operate effectively without over-granting calendar access. Transfer logic routes complex, sensitive, or human-requested calls seamlessly.

Outcome

Trixie now provides a consistent, professional first impression for every inbound caller. She efficiently qualifies leads, manages routine inquiries (including community cyber safety seminars), books qualified discovery calls, and handles vendor interactions appropriately while protecting our time and intellectual property. Full call recordings, transcripts, and summaries are automatically available for review, enabling continuous improvement.

This internal implementation serves as a practical example of responsible AI adoption that any small consulting firm or service business can adapt. It demonstrates how a well-configured voice agent can deliver immediate operational leverage while maintaining security, control, and a personal touch.
